We help brands become the source that answer engines such as ChatGPT, Claude, Gemini, Perplexity, and Google AI Overviews cite when they generate answers. 2. Information we collect
2.1 Information you provide to us
When you fill out a contact form, request an audit, book a call, or email us, we collect the information you share with us: your name, business email, phone number, company or brand name, website URL, approximate monthly budget, and any message or brief you send. If you sign a services agreement with us, we also collect billing details, tax identifiers, invoice records, and authorized-user contacts for the platforms we manage on your behalf.
2.2 Information we collect automatically
When you browse our website, we automatically collect standard log and device data: IP address, approximate location derived from IP, browser type and version, operating system, referring URL, pages visited, time on page, scroll depth, and interaction events. We collect this through first-party cookies, Google Analytics (measurement ID G-5TJ71R684F), and server logs. See our Cookie Policy for details.
2.3 Information from third parties
With your permission during an engagement, we access analytics accounts you own, including Google Analytics, Google Search Console, Google Business Profile, Bing Webmaster Tools, Ahrefs, Semrush, Screaming Frog exports, CRM exports, and answer-engine visibility tools. We do not download personal data from these platforms beyond what is required to deliver the service.
3. How we use your information
We use the information we collect to:
- Respond to inquiries, schedule discovery calls, and prepare proposals.
- Deliver contracted AEO, SEO, and GEO services, including reporting, dashboards, and monthly reviews.
- Send administrative communications such as invoices, contract updates, and service notices.
- Send optional marketing emails about our insights, playbooks, and case studies. You may unsubscribe at any time.
- Improve our website, content, and internal tooling by analyzing traffic patterns and conversion behavior.
- Protect our services against fraud, abuse, and security incidents.
- Comply with legal obligations, including tax, accounting, and lawful requests from authorities.
4. Legal bases we rely on
Where the GDPR, UK GDPR, or similar frameworks apply, we process personal information on the following legal bases: performance of a contract (when you engage us or request a proposal), our legitimate interests (running and improving our business, direct B2B marketing, security), your consent (for non-essential cookies and marketing emails where required), and compliance with a legal obligation (tax, accounting, and lawful requests).
5. How we share information
We do not sell personal information. We share limited data with vetted service providers who help us operate, including: Supabase (encrypted database and authentication for our lead capture system), Resend (transactional email delivery to hello@updates.aeomiamiagency.com), Google (Analytics, Workspace, Search Console), Cloudflare (hosting and edge delivery), Slack and Notion (internal collaboration), and accounting or payment processors. Each provider is bound by a data processing agreement and only receives what is necessary to perform their role. We may also disclose information when required by law, to enforce our agreements, or to protect the rights, property, or safety of our clients, users, or the public.
6. International data transfers
We are based in the United States and most of our providers are located in the US or the EU. Where personal data is transferred outside your jurisdiction, we rely on Standard Contractual Clauses or equivalent safeguards approved by the relevant authority.
7. Data retention
We keep contact form submissions and audit requests for up to 36 months so we can follow up and measure long-term marketing performance. We keep client records, contracts, and invoices for at least 7 years to satisfy tax and accounting obligations. Website analytics data collected via Google Analytics is retained for 14 months. When retention ends, we delete or anonymize the data.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, port, or restrict the processing of your personal information, to object to processing based on our legitimate interests, and to withdraw consent at any time. Residents of California, Colorado, Connecticut, Utah, Virginia, the EEA, and the UK have additional rights under their local law, including the right to opt out of the sale or sharing of personal information. 9. Security
We apply industry-standard technical and organizational safeguards, including TLS 1.2+ in transit, encryption at rest for our database, principle-of-least-privilege access controls, single sign-on with mandatory two-factor authentication for our team, quarterly access reviews, and audit logging on our lead capture system. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
10. Children
Our website and services are directed at businesses, not children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a minor has provided us with information, contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we update the “last updated” date above and, for material changes, notify active clients by email. Continued use of our website after an update constitutes acceptance of the revised policy.
